In order to accommodate your needs and manage our costs, MSACROA must know in advance of your audiovisual requirements.
MSACROA is happy to provide flipcharts, overhead projectors, screens, microphones and a limited number of data/computer projectors; we are unable to provide computers. Since data projector rental rates are several hundred dollars, in order to minimize our costs we encourage you to bring your own projector.
Internet connectivity cannot be guaranteed at all conference locations and hotel connectivity rates in meeting rooms are extremely expensive. We encourage you to design your materials so that you do not require the internet such as by storing copies of the webpages on your harddrive or capturing screenshots. If you must have connectivity, please be prepared to cover the actual costs of the connection; if possible, MSACROA will split the costs of internet connectivity among all presenters who require it.
Presenters must supply their own laptop/notebook computers.
Audiovisual equipment requests may be submitted with the session proposal. Any changes must be sent to the Facilities Chair by October 31.
Presenter & Convener Registrations
All presenters and conveners must register for and attend the conference at their own or their institution's expense.
Individuals primarily employed with other organizations offering goods and services to colleges and universities may not serve as presenters in sessions, except through the Exhibitor Session Category.
Requests for exceptions may be sent to the President-Elect; decisions will be made jointly by the President and President-Elect. Factors that will be considered in granting exceptions include value to the conference program and the presenter's institution's inability to pay for conference registrations.
Exhibitor Session Presentation
A limited number of slots are available for Exhibitor Sessions. Exhibitor Sessions may last up to 1 hour, 15 minutes. Companies design the presentations and are permitted to discuss and promote their products and services. The sessions run concurrent with other professional development presentations and only one exhibitor session will be offered in each time slot. Confirmed Exhibitor Session Presentations will be featured in the conference brochure. All requests are placed on a first-come, first-served basis with receipt of fees. The exhibitor session fee is complimentary for Platinum Sponsors.
What If My Session Proposal Is Not Accepted?
With limited space on the program, we expect the Program Committee won't be able to accept some good proposals, despite their merits. The Program Committee aims to provide a range of topics for each member constituency with perspectives from all types of schools. If your proposal is not accepted, we encourage you to submit it next year when the pool of proposals will change.
